Terms of Service
Effective Date: May 22, 2026. Please read this B2B SaaS platform agreement thoroughly before registering.
1. Acceptance of Terms
By registering for, accessing, or using the VetScribe software platform (the "Service"), you agree to be bound by these Terms of Service. This agreement is a binding legal contract between VetScribe and you as a practicing veterinary professional or clinical organization. If you do not agree, please do not access or use the workspace.
2. Professional Veterinary Scope & Responsibility
VetScribe is designed as an ambient administrative AI tool to help veterinary professionals streamline SOAP charting and record dictation.
- Clinical Validation: You maintain sole responsibility for the medical accuracy, diagnoses, drug dosing extractions, and professional integrity of all charts generated by the Service.
- Review Mandatory: AI structures voice drafts into SOAP notes, but it does not replace professional clinical judgment. You must review and validate all fields before physical export or clinical copying.
- Veterinary Boundaries: This Service is licensed exclusively for animal medicine and is not authorized for human medical diagnosis or clinical record management.
3. Subscription Plans, Billing, & Flat-Rate Commitments
We operate under simple, predictable, flat-rate subscriptions (Starter and Professional). All fees are billed in advance on a recurring monthly cycle. Subscription plans renew automatically until canceled in your workspace billing settings. Canceled accounts will retain access until the end of the current billing cycle, at which point no further charges will apply. We do not offer prorated refunds for partial months of service.
4. Local IndexedDB Cache & Database Synchronization
VetScribe offers offline functionality by sandbox caching within your browser's IndexedDB space. While we utilize secure API pathways and SQLite sync models, we are not liable for data loss due to browser clearing, cookie deletion, device failure, or local system corruption. We highly recommend maintaining a verified PIMS (Practice Information Management System) sync or physical PDF log backup schedule.
5. Intellectual Property and Usage License
VetScribe grants you a revocable, non-exclusive, non-transferable, limited license to access and use the Service for clinical charting and veterinary practice administration. All software code, designs, visual systems, and algorithms are the property of VetScribe and protected by intellectual property laws. All patient data, owner files, and generated clinical transcripts remain your exclusive property.
6. Limitation of Liability
To the maximum extent permitted by law, VetScribe shall not be liable for any direct, indirect, incidental, special, or consequential damages resulting from the use or inability to use the Service, including but not limited to medical practice disruption, data loss, diagnostic errors, or any professional liability issues arising from unreviewed SOAP notes.
7. Governing Law and Disputes
These terms shall be governed by and construed in accordance with standard corporate SaaS regulations. Any disputes arising under this agreement shall be settled through cooperative professional resolution, or under standard arbitration parameters.
